Scanning Service
What the service provides
The Council’s Document Management Centre (DMC) provide a bulk scanning service for all your hard copy documents up to and including A3, both single page and double-sided and convert these into an electronic PDF format. All documents are processed within a secure area and confidentially and securely destroyed once scanned.
We can collect your documents via our courier service, as well as prepare the documents for scanning if required, for example the removal of paper from files and plastic wallets and the removal of staples and paper clips.
Multiple documents can be scanned as one file and/or blank pages removed if required. Our equipment uses Optical Character Recognition (OCR) technology, so any hard copy originals that contain typed text become searchable once converted to a PDF, enabling you to search for information within each document and gives fast access to information. Unfortunately, this does not currently work for originals that are handwritten.

Cost to Derby city schools and academies
- Standard charge of £22.58 per hour for scanning (minimum charge of 2 hours)
- Courier service is charged at £8.67 per collection.
